Agency mode overview

Operate client workspaces as an agency, understand agency roles and plan limits, and navigate clients, modules, branding, rebilling, and billing.

Agency mode is for consultancies and managed service providers that administer separate agaro workspaces for clients. The agency has a home workspace and a roster of client workspaces. Each client remains an isolated tenant with its own users and business records.

The agency subscription also maintains a $24.99 monthly quantity line for managed client workspaces. Stripe quantities are synchronized from the actual agency roster and repaired by reconciliation if a provider update is missed.

Current staff invitation admission is capped at the staff capacity shown for the plan. When the cap is reached, upgrade the reseller plan before inviting another agency staff member.

An active, trialing, or explicitly exempt agency subscription is required to provision a new client workspace. Past due, canceled, unpaid, or missing reseller billing blocks new provisioning.

Agency navigation

Agency members can see an overview with client and subscription facts. Agency admins also receive management destinations for:

  • Clients, provisioning and support access
  • Staff, invitations and agency roles
  • Modules, client installation policy and approval requests
  • Branding, agency defaults and authentication email identity
  • Rebilling, client price book, offers, collection, cancellation, and refunds
  • Billing, reseller plan and Stripe Connect status

The visible navigation is not the security boundary. Every agency mutation verifies the active agency membership and required admin role again on the server.

Agency Admin and Staff

Agency roles are separate from the user's role inside a workspace.

An agency invitation also sets a workspace role, such as Manager, Employee, or Viewer, and can attach permission sets. This determines what the person may do after entering an individual workspace.

The agency owner must remain an admin. The last admin cannot be demoted or removed until another admin exists.

Client isolation

Every client is a normal workspace with its own workspace identifier. Business queries remain scoped to that workspace, and database row level security reinforces application checks on tenant tables.

Agency scope lets an authorized admin select a client for support. It does not merge client databases or make one client's users visible to another client.

Support access

An agency admin can select Access for a client. agaro displays a confirmation before changing the active workspace context. Activity created during agency support access carries the agency actor context so the action can be distinguished from a direct client user action.

End support access when the task is complete. Always confirm the active workspace name before changing records.

Two separate money relationships

Agency mode has two distinct billing directions:

  1. The agency pays agaro for its reseller subscription and managed client quantity.
  2. The agency can charge its clients through the agency's own connected Stripe account after each client accepts an immutable offer.

Do not confuse the agency price book with the agaro reseller invoice. The agency chooses its client pricing independently, and collection begins only after the client Super Admin accepts through secure checkout.

Troubleshooting

Agency navigation is missing

Confirm that your user has an active AgencyMember row for the current agency and that the agency home workspace is active. A normal tenant user does not receive agency navigation.

New client tenant is unavailable

Only an agency admin can provision. Confirm the reseller subscription is active and the plan has remaining client capacity.

A staff member can see clients but cannot manage them

That is expected for the Agency Staff role. Promote the member to Agency Admin only if they should control agency configuration.

Billing totals do not match the visible roster

Review the agency Billing usage cards and client roster, then allow reconciliation to correct stale Stripe quantities. Contact support if the authoritative roster and reconciled provider subscription remain different.
