Scheduling

Scheduling calendar and manual events

Use list and calendar views, create calls and meetings, link CRM records, filter sources, connect Google Calendar or Microsoft Outlook, and restore deleted schedule items.

Scheduling combines three sources in one operational calendar:

  • Manual agaro schedule events
  • Public bookings created through event types
  • Read only events from connected Google Calendars

Open Scheduling from the sidebar. Its dropdown has two rows, Calendar and Events, and no tab strip is drawn on the page. Managers and Super Admins can view the workspace calendar. Other permitted users normally see their own scope.

List and calendar views

Use the view control to switch between a list and the full calendar board. The same filtered data appears in both.

Available filters include:

  • Status
  • Client
  • Lead
  • Source, All, Manual events, Event bookings, or Google Calendar
  • Start date
  • End date

Use source filtering before editing. Public booking and Google rows are read only in Scheduling, while manual events can be changed by an authorized user.

Create a manual event

Select New event or choose an empty time on the calendar. Enter:

  • Title
  • Type, Call, Meeting, Demo, Follow up, Deadline, or Task
  • Date and start time
  • Duration
  • Status
  • Optional client
  • Optional lead
  • Notes

Manual events can be Upcoming, Completed, or Cancelled through the form. Missed is a system derived status and is not offered as a manual edit choice.

Link the client or lead when the event belongs to a CRM relationship. This makes filtering and follow up easier than placing the company name only in notes.

Edit or delete a manual event

Select a manual event to open its edit dialog. Update the fields and save. Use Delete when the event should leave the active schedule.

Deleted manual events move to Scheduling → Recently deleted. Restore the original record there instead of recreating it.

Understand booking rows

Bookings from public event types appear alongside manual events. Their booking status is mapped into the scheduling status view:

Booking stateScheduling display
Pending, Confirmed, RescheduledUpcoming
CancelledCancelled
No showMissed

Selecting a booking opens read only booking detail rather than the manual event editor. Manage its policy and public behavior through the related Event Type.

Connect Google Calendar or Microsoft Outlook

Scheduling is one area. There is no separate Calendars page: the calendar connections are part of Scheduling itself, and the old /scheduling?tab=calendars address opens Scheduling with the connect card.

There are two ways to connect.

  • The connect card. While you have no calendar connected, a card at the top of the Scheduling calendar says Connect your Google Calendar or Microsoft Outlook Calendar. It explains that bookings then go straight to your calendar, your busy times stay blocked, and video bookings get a Google Meet or Microsoft Teams link. Select Connect Google Calendar or Connect Microsoft Outlook and sign in on the provider's page. You can dismiss the card, and it stays dismissed in that browser. Choose the Calendars menu and then the connect entry to bring it back.
  • The Calendars menu. The Calendars button in the Scheduling toolbar shows what you have connected and its state: Workspace sync connected, Personal calendar connected, Needs verification, Reconnect required, or Not connected. Choose Manage calendars to open one dialog where you connect, verify, and manage them.

Calendar apps are part of the connectors included in some plans. If your plan does not include them, the card and the menu say so, and a Super Admin can follow See plans. Other roles are asked to ask the workspace owner. A Super Admin can connect a calendar for the whole workspace. Other roles connect a calendar for themselves.

Verify and manage a calendar

A newly connected calendar must be verified before it receives bookings. Each connected calendar shows a status and these actions:

  • Verify and use for bookings makes a Needs verification calendar Ready for bookings.
  • Reconnect appears when the status is Reconnect required, which means agaro can no longer use the calendar and you need to approve calendar access again.
  • Check for conflicts blocks booking times while this calendar is busy.
  • Use as workspace calendar and Stop using as workspace calendar are for a Super Admin. The workspace calendar is shown as Workspace calendar.
  • Stop using for Scheduling removes the calendar from Scheduling, and Disconnect disconnects it.

A calendar can also be marked as one that is used for email too.

Once a calendar is ready, choose it on an Event Type to receive bookings. See Event Types and public booking.

Enabled Google connections also contribute upcoming provider events to the agaro calendar. These rows carry a Google source label and open read only detail. Edit them in Google Calendar.

Workspace synchronization controls

Super Admins can see workspace calendar synchronization status and controls in the same Calendars dialog when that integration is available: Workspace sync on or off, the counts of synced, pending, conflicting, and errored items, and Sync now. A workspace calendar that was connected the older way is managed in this dialog too, under Connect workspace calendar. Personal connections and workspace application configuration are separate. A personal calendar connection does not grant every user access to that calendar.

Event Types

Open Events in the Scheduling dropdown of the sidebar (/scheduling?tab=event-types) to manage public booking pages. Event Types control availability, booking questions, confirmation, appearance, payments, seats, recurring behavior, cancellation policy, privacy, and webhooks.

See Event Types and public booking.

Troubleshooting

A booking shows as Cancelled under Upcoming

Refresh the page. The current mapping places Cancelled bookings in the Cancelled filter and No show bookings in Missed.

A Google event is missing

Confirm the personal connection is enabled, provider credentials remain valid, and the event is within the upcoming fetch window. Provider fetch errors do not take down the Scheduling page.

I cannot edit a calendar row

Booking and Google sourced rows are read only here. For a manual event, check your role, record scope, and workspace read only state.

Recently deleted is empty after deletion

The deleted item may belong to another user scope or may not be a manual ScheduleEvent. Public bookings and provider events use their own lifecycle.
