Manage events, registration, and operations

Create seminars and conferences, use the event pipeline, publish registration, manage sessions, tracks, sponsors, booths, communications, check in, and sales.

The Events module manages time bounded programs such as seminars, webinars, workshops, conferences, and trade events. It is separate from Event Types, which are reusable appointment booking pages.

Use the Events pipeline

Open Events to see the kanban board. Columns come from event stages, plus a no stage column. Each card shows the event time, publication state, and registration count.

Move an event through the pipeline as planning advances. Stage is an internal operational status and does not by itself publish or cancel the public event.

Create an event

Select New event and enter:

  • Name
  • Public slug
  • Start and end date and time
  • Optional stage
  • Description
  • Whether to publish the registration page

The create surface stores UTC for the current event form. Confirm the intended displayed times after creation, especially for events serving multiple timezones.

The public registration address uses the workspace and event slug. Keep it stable once invitations are distributed.

Edit event details

Open a kanban card and enter the edit page. Update event timing, venue, description, stage, template relationship, and publication choice where provided.

The event editor links to operational areas for Sales orders, Registration desk, Sponsors, Booths, Tracks, Slots, and Communications.

Publish registration

Enable publication only when dates, description, venue, registration products, slots, and public content are ready. A public event page can include published tracks, sponsors, booths, and registration choices according to their individual settings.

Unpublishing the event removes the normal public registration path but does not erase registrations or internal event records.

Multi session slots

Open Slots to create and review multiple event sessions. Each slot has a start and end time and can be selected during registration. Use this for conferences or workshops where an attendee chooses one session window.

Review capacity and past slot visibility before opening registration.

Tracks and agenda

Open Tracks to manage sessions, speakers, locations, stage, start and end time, public visibility, and optional live stream URL. Available views include kanban, list, calendar, Gantt, and other supported visualizations.

The public agenda uses only tracks marked for website publication. A wishlist count can show attendee interest without changing registration state.

Sponsors

Open Sponsors to link partners as event sponsors, assign a sponsorship level and type, add presentation content, and choose website or ticket visibility.

Sponsor publication exposes selected logo and content publicly. Confirm image rights and spelling before enabling it.

Booths

Open Booths to create physical booth inventory with category, status, price, renter, and paid state. Public reservation uses the event and booth address.

Reservation atomically changes an available booth to unavailable and records the renter. Do not manually promise a booth until the system shows its current status.

Communications

Open Communications to schedule attendee email or SMS relative to event start, event end, registration, or check in. Select a prepared email or SMS template, audience, offset, and active state.

The dispatcher records delivery identity so a repeated job does not intentionally send the same communication twice to the same registration. Test templates and provider configuration before activating a large event sequence.

Registration desk

Open Registration desk to search attendees, scan or enter badge codes, and check people in. The page shows registration status, contact identity, badge code, and check in time.

Treat badge codes as event access credentials. Do not publish them or reuse one attendee's code for another person.

Sales orders

The Sales orders view combines supported website Orders and ERP Sales Orders that contain products linked to the event. It shows channel, status, time, currency, and total.

Link the registration product to the event before selling it. A payment order and an attendee registration are related records but remain separate evidence.

Troubleshooting

The event is not public

Confirm Publish registration page on website is enabled and that the workspace and event slug are correct. Also verify the event has not been soft deleted.

A track is missing from the agenda

Open Tracks and enable its public website flag. Confirm its start, end, and location are valid.

An attendee paid but is not registered

Review the order, linked event product, provider payment state, and registration reconciliation. Do not create a duplicate registration until the signed payment event is checked.

A communication did not send

Confirm it is active, the offset is due, the attendee matches the target audience, the template exists, and the email or SMS provider is configured.
