Leads and qualification
Capture prospects, assign ownership, qualify them, manage lost reasons, and convert them safely.
Leads at /leads represent prospects that are not yet qualified deals or established customers. The module provides a list, Kanban view, detail records, assignments, follow up metadata, lost reasons, and conversion workflows.
Access and permissions
Reading requires the Leads module. Creating, editing, assigning, marking lost, restoring lost leads, moving to Trash, and restoring from Trash require SUPER_ADMIN or MANAGER. Authorized users can move cards through configured stages from the Kanban.
Create and qualify a lead
- Open
/leadsand select New lead, or open/leads/kanbanfor the board. - Enter the company or prospect name, contact channels, expected value, priority, owner, and stage.
- Add notes and attribution data when known.
- Use the Activities tab and Scheduling link to keep a next action attached to the prospect.
- Move the lead through the configured stages as qualification progresses.
The list supports search, filters, ownership, status, score, stage, and estimated value. The Kanban is better for stage movement. The list is better for sorting, bulk archive, and detailed filtering.
Convert a qualified lead
Open /leads/[id] and use one of the conversion actions:
- Convert to opportunity creates a deal with expected revenue and pipeline details while preserving the source lead link.
- Convert to client creates or links the customer contact, carries contact data and tags, and marks the lead Won.
Client conversion is idempotent. Repeating it does not create another customer for the same already converted lead.
Mark a lead lost
Choose Mark lost and select the configured reason. Lost records remain available for reporting and can be restored by an authorized manager. Do not move a genuinely lost lead to Trash merely to hide it. Lost is a business outcome. Trash is for an unwanted or erroneous record.
Lost reasons and lead scoring are managed from the Pipeline page by authorized administrators.
Archive and restore
Use Move to Trash for duplicates, test records, or records that should not remain active. Restore them from /leads/trash. A restored lead returns to the active list with its history intact.
Common problems
| What you see | What to check |
|---|---|
| Convert action is missing | Your role does not satisfy the manager mutation policy. |
| Pipeline has no columns | A manager must configure pipeline stages. |
| Lead appears in lost reporting | Restore it from lost if the deal is active again. Moving it out of Trash does not change lost status. |
| Similar leads are shown | Review them before conversion to avoid duplicate customers or duplicate opportunities. |
| A lead has no owner | Assign one from the detail page so team filters and follow up reporting remain useful. |
