Purchase

Vendors and requests for quotation

Maintain suppliers, invite them to quote, compare responses, and award purchase orders.

Purchase at /procurement is the supplier and inbound stock area. It is a module of its own in the Supply Chain group of the sidebar. The address is still /procurement.

The Purchase menu and overview

Select Purchase in the sidebar to open its dropdown. The top bar shows the same pages as tabs.

The overview opens with an Order goods from a vendor quick start. Its shortcuts are New purchase order, Receive goods, Add a vendor, and Reorder suggestions when the Planning pages are on. Four figures follow, each with its trend: Open orders, Late POs (past the expected date), To receive, and RFQs waiting (awaiting quotes). Open purchase orders lists the open orders with the earliest expected first.

The vendor scorecard and the order breakdown are one click away on the same page, as Vendor performance (/procurement?tab=vendors) and the purchase analysis (/procurement?tab=analytics). Nothing was removed from the overview, it was simplified.

Access and permissions

Purchase needs the Purchase module and the Inventory module, because receipts move stock. Workspaces that already used purchasing when Purchase became a module of its own have it installed, with the same access as before. Read access follows module and record scope. Vendor, RFQ, agreement, purchase order, receipt, and return mutations require SUPER_ADMIN or MANAGER.

Vendors

Open /procurement/vendors.

  1. Select the create action and enter supplier identity, contact information, terms, and purchasing details.
  2. Save the vendor.
  3. Use the vendor in RFQs, agreements, and purchase orders.
  4. Archive an inactive vendor rather than deleting transaction history. Restore it when the relationship resumes.

Supplier price and priority data can also support Reorder Suggestions where configured.

Create an RFQ

  1. Open /procurement/rfqs/new.
  2. Choose the destination warehouse, due date, invited vendors, and requested product lines.
  3. Save the Draft.
  4. Select Send to vendors. You can also use Email when outbound email is configured.
  5. Record each vendor quote under the Quotes tab, including unit price, lead time, and minimum quantity.

RFQ states are Draft, Sent, Closed, Cancelled, and Awarded.

Compare and award

The Quotes tab identifies the best eligible line quote using quantity, price, and lead time. Review the complete commercial terms before awarding.

The Award tab supports two strategies:

  1. Award the whole RFQ to one vendor.
  2. Award each line to the best selected vendor.

Select Award & create PO. agaro creates one or more Draft purchase orders and sets the RFQ to Awarded. Review those Draft orders before sending or confirming.
