Taxes and financial reports
Configure workspace tax, run financial statements, use date and currency context, and diagnose missing totals.
Taxes and reports use the same workspace scoped source records as daily operations. Their accuracy depends on correct fiscal setup, document states, dates, currency, and account mapping.
Taxes
Taxes is a dropdown in the Finance group of the sidebar. Its pages are the rows of the dropdown, and the pages themselves draw no row of tabs.
| Row | Address | What it is for |
|---|---|---|
| Overview | /taxes | What you collected and paid, what you owe, and when each return is due: tax collected and paid by month, the liability, the filings timeline, and the latest taxable invoices and bills |
| Returns | /taxes/returns | Start, file, and pay the return for each period |
| Configuration | /taxes/configuration | The rates invoices charge, every tax definition and how it is reported, and the groups they belong to |
| Fiscal positions | /taxes/fiscal-positions | Rules that swap taxes and account codes for a partner |
| Cash basis | /taxes/cash-basis | Count sales tax when the customer pays instead of when the invoice is issued. Turn it on, then choose which taxes follow payment |
| Payroll taxes | /taxes/payroll | Listed only where the United States local payroll pack applies. It holds Liabilities (local payroll taxes withheld and owed, by agency and quarter), Employee localities (where each employee lives and works), and Rates and register (what payroll computes, with the official source of each figure) |
Payroll taxes appears for a Super Admin or Manager in a United States workspace that holds the Payroll module, on a plan that lets them see other people's pay. Payroll refuses to run for a person in a state with local taxes until that person's locality is set under Employee localities.
Set tax rates and fiscal defaults before issuing customer invoices or posting vendor bills. Historical lines retain their recorded tax values even if a rate changes later. Finance settings at /settings?tab=finance#tax control workspace tax defaults.
The Taxes pages and their mutation controls require the Taxes module. Editing tax configuration requires SUPER_ADMIN or MANAGER. Each page checks its own access, so a page that is not listed for you can still refuse you by address.
Reports overview
Open /reports. The overview includes revenue versus expenses, expense breakdown, net profit trend, customer revenue, and other installed module sections for the selected date range. Every report sits in the same Reports frame, with a sticky navigation and a shared filter bar. See Reports: navigation, filters, and custom reports. The figures that used to head each finance list are in Analysis.
Standard statement routes include:
| Route | Report |
|---|---|
/reports/pnl | Profit and Loss |
/reports/balance-sheet | Balance Sheet |
/reports/cash-flow | Cash Flow, built from the journal ledger |
/reports/aging | Accounts Receivable Aging |
/reports/ap-aging | Accounts Payable Aging |
/reports/year-end | Year End Closing |
/reports/annual-report | Annual report workflow |
/reports/definitions | Custom report definitions |
Jurisdiction routes exist for the United States reporting surfaces. Treat tax and payroll compliance output as a preparation aid and have the responsible professional review it before filing.
What is calculated today
Be aware of the difference between a jurisdiction having a reporting surface and its tax actually being calculated on your documents:
- United States — sales tax is not calculated unless a tax provider is configured for the deployment. US sales tax is destination sourced across thousands of state, county, city and district jurisdictions with per product taxability, so AGARO does not ship a rate table: an approximate rate on a tax document is worse than none. With no provider configured, US documents carry no sales tax and you must add an explicit tax rate yourself if you have nexus.
Cash Flow
/reports/cash-flow is built from the journal ledger. It takes every cash and bank account's posted journal lines and classifies each one by the account on the other side of the entry:
- Operating activities are the ordinary movements of the business.
- Investing activities involve fixed assets, intangibles, long term deposits, and disposals.
- Financing activities involve loans, equity, drawings, and dividends.
The report shows Opening cash, the cash received and paid in each activity, Net change in cash, and Closing cash. Opening and closing cash are the balance sheet's cash and bank balances, so opening plus net change equals closing. Lines that have no account are listed separately. Use the row menu to open the journal items behind any row. A chart shows the net change by period, with each comparison period, oldest first.
If no cash or bank account has posted lines in the period and none has an opening balance, the report says no cash moved and asks you to choose another period.
Date and currency context
Always verify the selected date range and workspace currency before comparing a report to a list. Individual documents can keep their own currencies.
- Statements show each currency on its own until you choose one currency to present them in. Then every column converts at the exchange rate in force on its last day: the as of date for the Balance Sheet and Aged Receivables, and the period end for the Profit and Loss and the Cash Flow. The rate is not the one on each document's own date.
- If no rate exists on or before that day, the amount is shown unconverted rather than at a guessed rate. Manage rates under Settings → Finance, in the currency section.
- Amounts in different currencies are never added together. When a figure covers only the workspace currency, the page says so, for example that amounts in other currencies are not included.
- Corporate tax needs one amount in the filing currency. If revenue or expenses in the period are in more than one currency and a rate is missing, the page shows no figure instead of one that could be wrong on a return. Add the missing exchange rates and reload.
- A line of a custom report that adds amounts in different currencies has no single value, and its detail says which currencies are involved. Keep such lines in one currency, or report each currency in its own statement.
- A custom report line that adds a code no line has, or adds lines that add each other in a ring, has no value either, and the message names the codes.
Export
Reports with export controls can download the current view. Apply the intended range and filters before exporting. An export reflects the current report state, not every record in the database.
Common problems
| What you see | What to check |
|---|---|
| Report is empty | Confirm the date range, installed module, and that source documents are posted or issued. |
| Profit differs from cash movement | Profit and cash flow answer different questions. Review accrual timing and unpaid balances. |
| Tax liability is zero | Check tax configuration and whether taxable documents fall inside the report period. |
| Aging total differs from invoice face value | Aging uses the open balance after payments and credits. |
| A report route is restricted | The Reports module, plan entitlement, role, or permission set does not allow it. |
| A figure says it is one currency only | Other currencies exist and are not added in. Choose a presentation currency, and make sure exchange rates exist. |
| Corporate tax shows no figure | The period mixes currencies and an exchange rate is missing. |
| Too many report runs or exports | Wait a moment and try again. |
