The Free plan

Learn when a workspace is on the Free plan, why it is the CRM for one user, which modules keep working, what is paused, how to switch to Free, and how to upgrade.

Free is a working plan, not a locked one. It is the CRM for one user, at no cost. The workspace owner keeps working in the CRM, everyone else can look but not change anything, and every other module stays visible with its data. Nothing is deleted, and paying again restores everything at once.

The Free card on the Subscription page describes it in four lines:

  • 1 user.
  • Leads, Contacts, Opportunities, Scheduling, and Events.
  • Everything else stays visible and read only, nothing is deleted.
  • No AI credits, AI agents, App Builder, API, MCP, connectors, payroll, or marketing email.

The pricing cards add that booking and event confirmations and CRM emails are free, and that emails and booking pages carry "Powered by Agaro". On Free one person, the seat holder, can make changes in the Free modules, and everyone else in the workspace is read only. To give more people access, or to use other modules, choose a paid plan.

Which workspaces are on Free

A workspace lands on Free when it has no live payment behind it:

  • Its 14 day trial ended without a plan.
  • Its paid plan was cancelled or ended.
  • A payment failed and the 7 day grace period passed. During the grace period a banner reads "Payment failed. Update your card within N days to keep full access, or the workspace moves to the Free plan: CRM for 1 user."
  • Its Stripe subscription is in any other state that is not paying, such as incomplete or paused.

A Super Admin can also move a workspace to Free on purpose. See Switch to Free yourself.

Free does not apply to a workspace the platform owner has exempted from billing, whether complimentary or granted, nor to Enterprise. The Free card is also hidden for a workspace that is really paying for Scale. Those workspaces never see the Free plan.

Why one user can make changes

Free is the CRM for one user, so one person holds the seat: the seat holder. It is the earliest created active Super Admin of the workspace, meaning approved, not suspended, and not deleted, with the oldest creation date first and then the lowest identifier. It is normally the person who signed the workspace up.

  • The seat holder works normally in the Free modules.
  • Everyone else, including other Super Admins and Managers, can view but not change anything.

When someone else tries to change something, the message reads "This workspace is on the Free plan: CRM for 1 user. Only the workspace owner can make changes until the workspace upgrades. Upgrade in Settings, Plan and Billing."

Which modules work

WhatOn Free
Leads, Contacts, Opportunities, Scheduling, EventsThe seat holder changes them normally
Dashboard, Settings, Store, Users and RolesAlways available. The seat holder can use them, with the limits below
Every other module, for example Invoices, Inventory, Payroll, and ProjectsVisible with its data, read only for everyone
Sales Teams and CommissionsNot part of Free, although they sit under the CRM

A change in a read only part of Agaro reads "This workspace is on the Free plan: CRM for 1 user. This part of Agaro is read only until the workspace upgrades. Upgrade in Settings, Plan and Billing."

During setup, the same list drives the plan note: when every app you pick is one of the Free modules, it says "Everything you picked is on the Free plan."

Public pages keep working

Booking pages and website lead forms can still write into the Free CRM modules for a visitor, so bookings and captured leads keep arriving. A storefront order, or anything that writes into another module, stays closed.

What is paused

  • The API, MCP, AI agents, and automations make no change. The message reads "This workspace is on the Free plan: CRM for 1 user. The API, MCP, AI agents and automations can't make changes until the workspace upgrades. Upgrade in Settings, Plan and Billing." The API and MCP also need a paid plan to connect at all. See Connect an AI assistant (MCP).
  • AI credits. Free has none. Credits can be added on a paid plan.
  • Marketing email. It is not included. Booking and event confirmations and CRM emails are free.

Some work inside the Free modules is also left out, because it sends mail, calls other systems, moves money, or is written by an AI model. The seat holder cannot:

  • Send event communications to attendees, or use event webhooks.
  • Send a digest now.
  • Sell paid event seats or issue event booking refunds.
  • Use the Google Calendar conflict check, or calendar sync, which are connectors.
  • Create custom dashboard widgets, which are written by an AI model.
  • Turn on fiscal localization.
  • Give people access to the customer portal.
  • Use advanced access: custom access groups, record rules, or attribute based policies.
  • Use data migration.
  • Change the invoicing and expense defaults in Settings.

In Users and Roles, Free is one full user, so nothing adds or brings back a person. The seat holder can still update a person's role, profile, or picture, suspend, remove, or permanently delete a user, and disable or remove an invitation.

Switch to Free yourself

A Super Admin can move the workspace to Free from Settings → Plan and Billing. The Free card has a Switch to Free button. Only a Super Admin can use it.

  • During the 14 day trial, with no subscription. Switch to Free opens a confirmation titled Switch to the Free plan? It says the trial ends now and the workspace moves to Free, that only you can make changes in Leads, Contacts, Opportunities, Scheduling, and Events, and that nothing is deleted and you can subscribe at any time. Choose Switch to Free to confirm or Keep my trial to stay on the trial.
  • On a paid plan, or a trial that started in Stripe. Switch to Free opens the cancel dialog and then the billing portal. The workspace moves to Free when the paid period ends. Nothing is deleted.

A workspace that is really paying for Scale does not see the Free card, so it leaves in the billing portal under Manage billing. If you try to switch from here without being on the plain trial, the page says "Only a free trial without a subscription can switch to Free here. To leave a paid plan, cancel it in Manage billing."

Upgrade from Free

A banner at the top of the app says "Your workspace is on the Free plan: CRM for 1 user. Upgrade to use everything again." with an Upgrade button that opens Settings → Subscription.

  1. A Super Admin opens Settings → Plan and Billing. Only a Super Admin can change the plan. Other people see that billing is managed by the workspace admin.
  2. Choose Essentials or Scale and select Subscribe. For Enterprise, choose Contact sales.
  3. Complete the hosted Stripe Checkout.

Everything comes back as soon as the subscription is live. See Plans, add ons, and pricing for the plans and Manage a subscription and paid add ons for checkout and the billing portal.

Troubleshooting

I am a Super Admin but I cannot change anything

Only the seat holder, the earliest created active Super Admin, can make changes on Free. Ask that person, or upgrade the workspace.

A message says this part of Agaro is read only

The module is outside the Free CRM modules. Upgrade to use it again. Its data is still there.

The API, MCP, or an automation made no change

On Free they cannot change anything, and the API and MCP need a paid plan. Upgrade to use them.

There is no Free card on the Subscription page

The workspace is paying for Scale, is on an Enterprise contract, or is exempt from billing. Those workspaces are not offered Free.
