Orders
Sales orders
Create, confirm, deliver, invoice, duplicate, cancel, and review customer sales orders inside the Orders module.
A sales order reserves stock for a customer, ships it through Delivery, and bills it. Sales orders are part of Orders and are listed with every other order at /orders. The earlier Sales area at /sales no longer exists, and its addresses redirect:
| Old address | Now opens |
|---|---|
/sales | /orders/overview |
/sales/sales-orders | /orders |
/sales/deliveries | /delivery/deliveries |
/sales/shipments | /delivery/shipments |
/sales/customer-returns | /delivery/returns |
/sales/delivery-methods | /delivery/methods |
Access and permissions
A sales order needs two modules: Orders for the list and the record, and Inventory for the stock. If you hold both, the Sales orders view appears above the Orders list. Users with read access can inspect permitted records. Creating, editing, confirming, delivering, invoicing, and cancelling require SUPER_ADMIN or MANAGER.
To ship a sales order through its deliveries you also need Delivery, which needs Inventory. See Deliveries and shipments.
Create a sales order
- Open Orders and select New order. With Inventory, this opens the sales order form at
/orders/new. - Choose the Customer and the Warehouse.
- Optionally enter the Expected delivery date.
- Add lines. Each line has a product variant, a quantity, a unit price, and a tax percentage. A line shows how many units are available, across warehouses or in the chosen warehouse.
- Add internal notes if the team needs them.
- Save. The order starts as a Draft.
A customer and a warehouse must already exist. A product needs a sellable variant before it can be added. Nothing is reserved until you confirm the order.
You can edit a Draft: choose Edit on the record to change the customer, warehouse, date, or lines. Once the order is confirmed it can no longer be edited.
Confirm the order
Open the order and select Confirm. Confirmation reserves available stock for the order. The order lifecycle is Draft, Confirmed, Partially Delivered, Delivered, and Cancelled.
If stock is insufficient and overselling is disabled, confirmation is rejected. Receive, transfer, or adjust the required stock, then try again.
Cancel order is offered on a Draft or Confirmed order and releases its outstanding reservations. Once goods have shipped, an order is not cancelled. Reverse the shipped goods with a customer return instead, and the order keeps its fulfillment history. A sales order that fulfils a paid online order cannot be cancelled here: refund the online order instead.
Deliver
Deliver is offered on a Confirmed or Partially Delivered order that still has quantity to ship. It opens the delivery dialog, which lists each line with the quantity still outstanding and lets you enter how much to ship. Delivering needs the Delivery module.
- Create delivery drafts the delivery for picking, packing, and validation. You choose what ships when you validate it.
- Create and ship delivers the quantities you entered now.
- When a delivery is already open for the order, Open delivery takes you to it.
If you ship less than was ordered and backorders are enabled, a backorder delivery stays open for the rest.
Invoice
Create invoice is offered on a Partially Delivered or Delivered order that has delivered quantity not yet invoiced. It creates a Draft invoice for that quantity. The server tracks invoiced quantity, so the same delivered units cannot be billed twice. Open the new invoice from the confirmation message.
The order record
The record shows the customer, warehouse, order date, expected delivery, delivery method, currency, and notes, an order progress bar, and these tabs:
| Tab | What it shows |
|---|---|
| Lines | Each line with ordered, reserved, delivered, and invoiced quantity, the unit price, and the line total |
| Deliveries | Every delivery for the order, including backorders |
| Invoices | Invoices with their totals and amounts paid |
| Payments | Payments recorded against those invoices |
| Returns | Customer returns taken against the order's deliveries |
When an order came from a quote, the record links back to the quote. A paid online order that this sales order fulfils links to that order.
Duplicate
Duplicate, in the record menu, creates a new Draft using the source order data. It does not reuse the original order number, delivery state, reservations, or invoices. Review current price, tax, availability, and expected date before confirming the duplicate.
Common problems
| What you see | What to check |
|---|---|
| The Sales orders view is missing | You need Inventory as well as Orders. |
| Product is missing from the line picker | Create or inventory link the product variant first. |
| Confirm is rejected | Check manager permission, warehouse, quantity, and available stock. |
| Order is Partially Delivered | One or more lines still have undelivered quantity. |
| Create invoice makes no lines | No delivered, uninvoiced quantity remains. |
| Cancel order is unavailable | The order has shipped (use a customer return), is already cancelled, or fulfils a paid online order. |
| Deliver is refused | Delivering needs the Delivery module. Add it from the Store, then try again. |
