Products and the product record

Keep the product catalog in Supply Chain, create products, and work through every section of the redesigned product record.

Products at /products is the catalog that every other Supply Chain module reads: Orders sell from it, Inventory counts it, and Purchase buys it. Products now sits at the top of the Supply Chain group in the sidebar. The sidebar group that used to be called Products and More no longer exists. Its other two rows moved to where they fit: Services is in CRM, and Projects is in Tasks and Projects.

Access and permissions

Products requires the Products module. Creating, editing, and moving products to the trash require SUPER_ADMIN or MANAGER. Sections that depend on stock, purchasing, or sales need the matching module. Without Inventory, the attributes, variants, vendor lines, purchase history, barcodes, units of measure, and lifecycle sections show that Inventory is needed instead of hiding the page. Without Orders, the price lists section is not shown.

The product list

Open /products. The list shows each product with its SKU, category, price, cost, stock, status, whether it is published on the website, and when it was updated. The Cost column needs Purchase access and the Stock column needs Inventory access.

  • Switch between Table and Grid views. The grid shows each product's main image.
  • Search and filter the list. The list is paged on the server, so it stays fast on a large catalog.
  • New product opens the create page.
  • Manage categories opens the category tree. Website shop opens the shop settings for products sold online.
  • Recently deleted lists products in the trash, where they can be restored.
  • Use the row menu to open a product, publish it on the website or remove it from the website, or move it to the trash.
  • Import brings products in from a file. Export downloads the whole catalog using the filters you have applied.

Create a product

Select New product. The create page and the product record are the same page, so what you fill in here is what you see later.

  1. Enter the Product Name. Add images in the header if you have them. See Product images.
  2. Choose what the product can do with the capability toggles: Can be Sold, Can be Purchased, and Can be Rented, plus Recurring.
  3. Fill in the General Information tab: product type, category, sales price, cost, SKU, barcode, unit of measure, customer taxes, and descriptions. Leave the SKU blank to have one generated.
  4. Select Save. The record opens at /products/[id].

Creating a product does not create stock. See Inventory control center for the prerequisites that make stock appear.

The product record

The record shows the whole product on one page, with every section visible and editable in place.

At the top, a row of small figures links each topic to its section: Website, Extra Prices, In, Out, Reordering, and Quality. Selecting one moves to the tab that holds it, and Website opens the shop settings. Nothing navigates away, so the page does not move.

Beside the large picture are the product name, a Favourite star, the capability toggles, and the row of thumbnails.

The record has eight tabs:

TabWhat it holds
General InformationName, type, category, price, cost, SKU, barcode, unit of measure, taxes, description, and internal notes
Attributes & VariantsAttributes such as Size or Color and the variants they generate, edited in a table on the page
SalesPublished on website, out of stock behaviour, website categories, upsell and cross sell products, point of sale availability, price lists, and sales history
PurchaseVendor pricing lines, reorder method and reorder point, purchase description and warning, vendor taxes, and purchase history
InventoryStock tracking, on hand and reserved quantities, barcodes, units of measure, routes, weight, volume, and lead times
AccountingIncome, expense, and price difference accounts, and commodity codes
LifecycleLifecycle state and revision history
FilesDocuments attached to the product

Tables on these tabs, such as variants, vendor lines, price lists, barcodes, and units of measure, are edited in place. Each streams in on its own, so a slow section does not hold up the rest of the page.

Track stock and adjust on hand

On the Inventory tab, Track stock decides whether quantities are counted. When it is on, on hand, reserved, and incoming quantities are counted and the product cannot be oversold. When it is off, the product is always available, like a service or a digital item.

A manager who also has Inventory can use Adjust quantity to change on hand. Each change is saved as a stock adjustment. A product with variants is adjusted per variant under Warehouse, Stock adjustments. An adjustment that needs approval shows its number until it is approved.

Duplicate, trash, and restore

The record menu has Duplicate. Move to Trash removes the product from your storefront and from new orders, and you can restore it from Recently deleted. A product that already has orders is retired instead of deleted, so order history stays intact.
