Org chart and reporting lines
See who reports to whom across the company, search and zoom the chart, print it, and set reporting lines from an employee record.
The org chart draws the reporting structure of the company on one page. It sits under Employees, at /employees/org-chart, and it needs the Employees module. The chart reads only the directory fields: name, job title, department, photo, and who each person reports to. It never loads pay, contact details, status, or HR notes.
What the chart shows
A person is drawn while they are current: not in the trash, and either an active employee who has not left (a leaving date still ahead keeps the person until that day), or an approved member without an employee record, such as an owner or an admin. If a manager has left, they drop out and the people who reported to them show up under Without a manager, which is what HR needs to fix.
A summary above the chart shows:
- Headcount: the people in the chart.
- Managers: people who lead at least one person.
- Average span of control: direct reports per manager.
- Without a manager: people not in a reporting line yet.
People who report to no one and lead no team sit outside the chart in a Without a manager list. Open a record from there to set who they report to.
If nobody has a reporting line yet, the page says No reporting lines yet and lists everyone below it. If nobody is in the chart, add employees and set who each one reports to, and the chart draws itself.
Move around the chart
- Search by name, job title, or department. The match count is shown, and when there are many matches the list asks you to keep typing to narrow it.
- Filter by department to see one part of the company.
- Show or hide a team: use the show or hide control on a card, or use Expand all and Collapse all. The number on a card is how many people report to that person.
- Zoom with the zoom in and zoom out controls, Fit to screen to see the whole chart, and Reset the chart to return to the start. The zoom level is shown as a percentage.
- Keyboard: the arrow keys move between people, Space shows or hides a team, Enter opens a record, plus and minus zoom, and 0 fits the chart.
The chart shows the first part of a very large company and tells you how many people it shows. Narrow it with the department filter or search.
Print the org chart
Select Print. Choose how many levels to show with Show one more level and Show one level fewer, because a company can have more levels than fit on a page. The page says how many levels are shown out of the total, and how many people sit in teams that are not opened on the page. A printed page carries the number of people and the department when you filtered by one.
Reporting line on an employee record
An employee record has an Org chart tab with a Reporting line section. It shows:
- The chain above the employee, from the top, with their manager first.
- The employee's direct reports. The list shows up to 60 and says how many more there are.
- Edit reporting line to change who they report to, and Open org chart.
The record also says when something is off: the employee reports to no one yet, their manager is no longer active so the line stops there, or the line above is cut short because it loops back on itself or runs deeper than the chart follows.
Set the manager when you create the employee, or later from the record. See Employees and attendance.
Common problems
| What you see | What to check |
|---|---|
| Someone is missing from the chart | They are in the trash, they have left, or they are not an approved member. |
| Someone is listed under Without a manager | They report to no one and lead no team, or their manager has left. Set a reporting line on their record. |
| The chart shows only some people | It is limited to the first part of a very large company. Use the department filter or search. |
| Two people report to each other | The line loops back on itself. Correct one reporting line on the employee record. |
| The printed chart is missing levels | Use Show one more level before you print. |
