Orders

Orders: one list of every order

Find, create, and follow every order from one list, and see how the Orders menu, the overview, and sales orders fit together.

Orders at /orders is one module with one list. A checkout on your online store, an order you record by hand, an order that comes from an accepted quote, an event order, and a sales order all appear in it, each sale once. Sales orders used to live in a separate Sales area. They are now part of Orders, and the old Sales addresses redirect here.

Where Orders sits

Orders is in the Supply Chain group of the sidebar, below Products. Select it to open a dropdown of its pages. The top bar shows the same pages as tabs.

Shipping methods/delivery/methods/shopSUPER_ADMIN and MANAGER, only when they cannot open Delivery

Shipments and Shipping methods appear in the Orders dropdown only when you cannot open Delivery. To open Delivery you need the Delivery and Inventory modules. With both, shipments and the shop's shipping methods live under Delivery, and the Orders shipments address sends you there. Without them, the Orders rows are your only way to those pages, so a workspace that sells online without Inventory still has shipments, shipping methods, price lists, and coupons in one dropdown.

The Orders overview

The overview at /orders/overview is the page to start from.

  • Take an order offers New order. It also offers Ship ready orders when you can open Delivery, and Connect your online store when you are a Super Admin or Manager.
  • Four figures summarize the month: Orders this month (cancelled orders left out), To ship (paid and waiting to leave), Unpaid or to invoice, and Sold this month (paid and confirmed orders). Each figure opens the list behind it. To ship opens Delivery when you can open it.
  • Latest orders lists the five newest orders of every kind. All orders opens the full list.

A workspace with no orders yet sees an empty state with a New order button.

The list of every order

Open /orders. The list shows the order number, the customer and date, the Channel, the Status, and the total.

ChannelWhat it means
Online storeA checkout on your website or connected store
ManualAn order recorded by a team member
EventAn event checkout
From a quoteA sales order created from an accepted quote
Sales orderA sales order created on its own

A sale is listed once. The sales order that holds the stock side of a paid online order is the same sale as that order, so only the order is listed, and opening it shows the fulfilment documents.

If you can open both Orders and Inventory, three views appear above the list:

  • All orders: every order of every kind. This is the default.
  • Online and manual: online store, manual, and event orders, with their payments, coupons, and shipping.
  • Sales orders: sales orders, with their warehouse, reservations, and invoices. See Sales orders.

If you can open Orders but not Inventory, you see the online and manual list only, because sales orders move stock and need Inventory.

Every row opens its record at /orders/[id]. One address opens both kinds of order. An order from another workspace, or a sales order you cannot open, is shown as not found.

Create an order

Select New order. Only a SUPER_ADMIN or MANAGER can create an order. Anyone else who opens /orders/new is returned to the list.

  • With Inventory, New order opens the sales order form: a customer, a warehouse, and the lines to reserve.
  • A link under the form, Record a paid order instead, opens the manual order form for an order that was already paid.
  • Without Inventory, New order opens the manual order form directly.

Online and manual orders

An online or manual order moves through these statuses: Pending, Awaiting payment, Paid, Fulfilled, Cancelled, and Refunded. An order that is Pending or Awaiting payment offers Mark paid and Cancel. A paid order becomes Fulfilled when its shipments are created, so there is no button that sets Fulfilled by hand. A refund is not a status you set yourself.

When a paid order has a sales order behind it, the record shows a Fulfilment section with the sales order, its deliveries, and any customer returns. Open delivery appears when you can open Delivery. A Super Admin who does not have Delivery sees Add Delivery from the Store to ship this order.

Access and permissions

Orders requires the Orders module. Sales orders also require Inventory. Creating, editing, confirming, cancelling, and invoicing require SUPER_ADMIN or MANAGER. See Apps catalog and modules for how modules are added.
